Board and Officer Responsibilities

 

BOARD OF DIRECTORS        

Obligations and Responsibilities

The Board shall be the governing body of the Club and shall be the policy-making entity for the Club.  The Board shall be composed of individuals who act as a whole in the name of the Club.  The Board shall have the responsibility to:

1.  Conduct the business of the Club.

2.  Provide and arrange for adequate finances to support the programs of the Club.

3.  Approve and authorize budgets prepared by the Treasurer.

4.  Review the revenue received and payments from the funds of the Club made by the Treasurer.

5.  Provide liaisons with similar organizations in the community.

Conduct of Business

1.  The Board shall normally meet at the calling of the President but should meet at least 4 times per year.

2.  Notice of Meetings – Notice of the date, time and place of meetings accompanied by a tentative agenda shall be provided to each Board member at least one week prior to the meeting. Board meetings are open to all members of the Club. Notice of the date, time and place of Board meetings shall be given to the general membership through the web site.

3.  Meetings – Meetings of the Board may be requested by the President, or two members of the Board. Notice of such meetings shall be given to Board members no less than one week before the meeting and shall specify the purpose for which the meeting is being called. The meeting shall be limited to the stated purpose.

 

OFFICERS

Officers of the Club

The officers shall be a President, 1st Vice President, 2nd Vice President, a Secretary and a Treasurer. The President shall have served as a member of the Board for at least one year.

Duties of the officers

The President shall:

1.  Preside at meetings of the Board and the Club events.

2.  Provide draft agendas with meeting notices to the Board.

3.  Appoint the chairs of Board committees, with the advice and consent of the Board.

4.  Appoint ad hoc committees with the advice and consent of the Board.

5.  be a voting member of all committees.

6.  Perform other duties as requested by the Board.

The 1st Vice President shall:

1.  Preside at meetings from which the President is absent.

2.  Be designated as successor to the office of President.

3.  Act as membership chair for the Club.

4.  Perform other duties as requested by the President or the Board.

The 2nd Vice President shall:

1.  Organize special events of the Club such as a golf outing or wine testing.

2.  Coordinate with the University in obtaining a pair of season tickets to the home games of The Ohio State University football team.

3.  Organize and coordinate Club away games attendance.

4.  Perform other duties as requested by the President or the Board.

The Secretary shall:

1.  Record, distribute and file minutes of all meetings of the Board.

2.  File meeting minutes with The Ohio State University Alumni Association.

3.  Record the results of the annual election of the Board and providing the University Alumni Association with names and addresses.

4.  Handle general correspondence of the Club.

5.  Perform other duties as requested by the President or the Board.

The Treasurer shall:

1.  Have general supervision over the care and custody of the funds of the Club.

2.  Deposit the funds or cause the funds to be deposited in a timely manner in the name of the Club in depositories approved by the Board.

3.  Cause the funds of the Club to be disbursed in a timely manner by checks or drafts upon the authorized depositories.

4.  Submit a financial report at each regular meeting of the Board.

5.  Keep a record of the payment of dues by the members.

6.  Keep a record of the membership key information such as: address and other contact information.

SCHOLARSHIP FUND

The Board shall establish scholarship funds for the benefit of student(s) in the Greater Kansas City area in attending The Ohio State University. Board member(s), appointed by the President shall promote the availability of the scholarship to eligible students, recommendation to the Board the scholarship award and coordinate the award with the University.


WEBSITE MANAGEMENT

The Board shall establish a website "www.kcbucks.org" and an e-mail distribution list " kcbucks@yahoogroups.com ". They shall be maintained to provide timely and detailed information regarding club watch parties, upcoming events, board meetings and other club news to further promote interest in the club and to bring greater visibility in the community.


PUBLIC RELATIONS

Board shall establish a public relations function which shall provide a newsletter to the membership and on the website at least twice annually. In addition, news release should be provided to local media and the University Alumni Association to bring greater visibility to this Club and to increase attendance at Club events.


FISCAL YEAR

The fiscal year of the Club shall begin July 1 and end June 30. The financial year shall be on a calendar basis in order to fit the Ohio State Alumni year end filings.
